Why Every DSP Should Provide Company Email Accounts for Their DA’s

Amazon gives DSPs a good amount of flexibility in managing their processes and procedures. When onboarding a new Delivery Associate (DA), you can either allow them to use their personal email or provide a company-issued email. While some DSPs opt for personal emails to avoid the upfront cost of setting up company accounts, the time and effort saved by using a standardized company email ultimately outweigh the initial savings. In the long run, company-issued emails streamline operations, enhance security, and reduce administrative headaches. Here’s why making the switch is essential:

Time-Saving for Administrators

Many DSPs I’ve worked with have shared that one of the biggest hurdles in onboarding—and the point where they lose the most new hires—is during the Flex account sign-up and first login. Confusion around creating an entirely unique email address and spam settings preventing the Flex App invitation delivery are just a few ways a personal email address can delay or even discourage new hires from continuing with the already arduous process of becoming a DA. Not to mention, if they can’t onboard easily with you, they’ll likely go onboard with your neighboring DSP.

  • Direct welcome messages: New hires can receive an automated welcome email with onboarding instructions, contacts for help, any required attachments and next steps. This alone can eliminate several steps in your current process. Any time I hired someone new, I would have their flex invitation, offer letter and next step instructions ready to go before they even signed into their new email account.

  • Ensuring a unique work email: A company email ensures that each Delivery Associate (DA) has a distinct, work-related email account, separate from any personal or Amazon-associated email. If I had a dollar for every time a new hire used an email account already established with Amazon…. well I wouldn’t need to continue operating a DSP.

  • Facilitating quick access to company resources: By keeping standard naming conventions for your emails, like firstname.lastname@yourdsp.com, new employees can immediately be added to necessary mailing lists, communication channels, and training portals because you already know their email address by just having their name!

  • Auto-add to your address book: Instead of constantly adding and removing DA’s to an ever-evolving master list, the email account system will automatically add and delete accounts for you as you activate or de-activate accounts.

  • Controlled access: If an employee leaves, you can disable their email, preventing unauthorized access to company files and sensitive data.

  • Ease of password resets: If a DA forgets their password, company-managed emails allow for quick and secure resets. This is crucial, as the email account is essential for logging into the Flex app. Without access, a DA may not be able to start their route, leading to work disruptions.

Setting up a new email system

There are several companies that offer email accounts for as little as $1 / user / month. My company personally used Zoho Mail, but other brands such as IONOS and Namecheap offer similar plans.
